Booking Terms and Conditions contain important information. It is essential that you read them carefully and understand them. The Booking Terms and Conditions consists a legally binding contract between Prime Himalayas Pvt Ltd and you for the services provided by Prime Himalayas Pvt Ltd.

Bookings and Payments

To process a Booking you must send us a completed booking form with 20% non-refundable deposit as detailed below. This will constitute acceptance by you of these Terms and Conditions. We require you to E-mail a copy of each passport to our office E-mail address After receiving your passport and the completed booking form with your 20% non-refundable, we will send you final confirmation receipt. A bank service charge may apply and should be paid at the time of deposit. A legal guardian must accompany all travelers under the age of sixteen. If you have a question regarding age and suitability, please contact us for further information.

For Credit Card payment, please contact us. We only accept Visa or MasterCard and a 4% Bank Commission for card processing fee. You can pay the remaining balance upon arrival to Nepal.

Cancellation & Booking Changes

  1. Cancellation notice is required minimum 20 days prior to trip departure and must be made in written, such notice commences from the day received. Cancellation shall be valid with approval from the company after receiving documentation. The Trip shall then be termed as cancelled and a cancellation charge of 30% of the trip amount would be deducted from the advance paid.
  2. If you require other changes to your original tour, the person that booked the tour must submit a written document with changes required. While every effort will be made, changes cannot be guaranteed.
  3. If you are prevented from travelling on the tour by genuine circumstances,for example (without restriction) because of death, injury or serious illness of the passenger, close relative or friend, redundancy or jury service, you may postpone or transfer your booking to another person, provided they meet all the requirements relating to that tour.

Travel Insurance

Travel insurance is compulsory for all people undertaking any trekking tour in Nepal and that is for your safety.. It should provide ample protection for the full duration of the tour/trekking to cover personal injury, death, medical expenses, repatriation expenses, helicopter rescue, air ambulance and reliable cover for baggage.

Passport and Visas

All clients must have a valid passport with at least 6 months validity from return date. Nepalese visas can be obtained from the Nepalese Consulate in your country or arrival in Kathmandu Airport. Nepalese visas costs are the sole responsibility of clients.

Changes to your Holiday and Pricing

Travelling with us requires a degree of flexibility, good humor and an understanding that modes of transport, accommodation and itineraries may change, even after the tour has commenced, without prior notice due to local circumstances such as flight delay, cancellation or postponement due to infamous weather around the trails or other unpredictable circumstances such as land-slides, road blockage, flood, snow, political unrest or other natural reasons. we are unable to refund any money under the above circumstances due to prior arrangements. If possible, we will always try to provide you an alternative or substitute trip of same category.

We do not accept any liability for loss on employment, delays or compensation resulting from situations beyond our control.


In order to collect information from you to making a booking through Prime Himalayas Pvt Ltd we ask many questions to obtain the necessary documentation. No private or personal information that you supply to us when making a booking will be disclosed for any other purposes.

However, the entire programs in Nepal are conducted strictly under the rules and regulation of theirsí own policies.

Therefore Prime Himalayas Pvt Ltd and its related organization shall not be responsible for any changes in the itinerary due to unavoidable circumstance such as govt. restriction, Land slide, road blockage, flood, snow political unrest, cancellation of flight, delay, sickness or accident, Any extra cost incurring there of shall be borne by the clients on the spots.

If you have a complaint about the trip or tour, you must keep in mind to inform to tour leader or guide at the earliest opportunity who will take the applicable action or to the company representative at our office in Kathmandu.
